Move-In / Move-Out Procedures

Everything you need to know for a smooth transition into — and out of — your Genesis Valor home.

Part One

Move-In Procedures

Moving into Genesis Valor is the beginning of a new chapter. The steps below will walk you through everything that happens on and around your move-in day so you know exactly what to expect.

Step 1 — Complete Intake Paperwork

Before or on your move-in day, you will complete all required intake documentation with a Genesis Valor staff member. This includes your residency agreement, program enrollment forms, emergency contact information, and acknowledgment of the House Rules & Code of Conduct.

Please bring the following documents:

  • Government-issued photo ID (driver's license, state ID, or passport)
  • Social Security card or documentation
  • Any required program referral paperwork
  • Proof of income or benefits (if applicable)
  • Prescribed medications in original labeled containers
  • Health insurance card (if applicable)

Step 2 — Property Walkthrough

A staff member will walk you through the property before you receive your keys. During this walkthrough you will:

• Inspect your assigned bedroom and note any pre-existing damage on the Room Condition Report • Review the location of shared spaces — kitchen, bathrooms, laundry room, and outdoor areas • Identify fire exits, smoke detectors, fire extinguishers, and first aid supplies • Receive your keys, access codes, or key fob (as applicable)

Both you and the staff member will sign the Room Condition Report. Keep your copy — it protects you at move-out.

Step 3 — Room Condition Report

The Room Condition Report documents the state of your room at the time of move-in. Walk through every item carefully and note anything that is damaged, missing, or in need of repair — no matter how minor it seems.

Examples of items to document:

  • Scuffs, holes, or marks on walls
  • Damaged or missing window screens
  • Broken or malfunctioning locks
  • Stains on carpet or flooring
  • Damaged furniture or fixtures
  • Non-functioning outlets or light fixtures

Any damage not documented on the Room Condition Report at move-in may be attributed to you at move-out. Report everything — it is in your best interest.

Step 4 — Case Manager Introduction

Within your first few days, you will be introduced to your assigned case manager. Your case manager will:

• Review your goals and support needs • Explain program participation requirements • Schedule your first formal case management meeting • Connect you with any immediate resources you need

Your case manager is your primary point of contact throughout your stay. Do not hesitate to reach out with questions, concerns, or requests for assistance.

Step 5 — Orientation

All new residents participate in a property orientation covering:

  • House rules and community expectations
  • Quiet hours and curfew
  • Shared space responsibilities and cleaning schedules
  • Visitor policies
  • Emergency procedures and evacuation routes
  • Wi-Fi access and electronics policies
  • Laundry room procedures
  • Parking rules (if applicable)
  • How to submit a maintenance request
  • How to submit a grievance

Orientation is mandatory. If you have questions after orientation, write them down and bring them to your first case management meeting.

Move-In Checklist

  • Intake paperwork signed and submitted
  • Room Condition Report completed and signed by both parties
  • Keys / access credentials received
  • Property walkthrough completed
  • Emergency exits and safety equipment located
  • Case manager introduction scheduled
  • Orientation completed
  • Residency agreement signed and copy received
  • Program participation requirements explained
  • Contact information for staff received

Part Two

Move-Out Procedures

Whether your stay is ending as planned or sooner than expected, Genesis Valor is committed to helping you transition successfully. Follow the steps below to ensure a smooth move-out and protect your record for future housing.

Step 1 — Notice of Departure

Residents planning a voluntary departure are expected to provide advance notice to Genesis Valor staff. The required notice period will be outlined in your residency agreement — typically 30 days for planned departures.

Notice should be submitted in writing to your case manager and include:

• Your intended move-out date • Your planned next housing destination (if known) • Any requests for discharge planning assistance

Early notice allows staff to begin discharge planning and connect you with resources for your next step. If you are being discharged due to a rule violation, staff will communicate the timeline and process directly.

Step 2 — Discharge Planning

Genesis Valor is committed to helping every resident transition successfully — whether your stay is ending as planned or unexpectedly. Your case manager will work with you to develop a discharge plan that addresses:

  • Next housing placement or permanent housing options
  • Continuation of support services
  • Referrals to community resources
  • Employment and income stability
  • Healthcare and medication continuity
  • Transportation needs
  • Any outstanding legal or court obligations

Discharge planning begins as early as possible. Please be open and honest with your case manager about your needs and concerns — the goal is a stable, successful transition.

Step 3 — Packing & Personal Belongings

All personal belongings must be removed from your room and any shared storage areas by your move-out date and time. Please:

• Remove all clothing, personal items, and food from your room • Clear out any items stored in shared spaces (refrigerator, cabinets, laundry area) • Dispose of trash properly — do not leave garbage in the room or hallways • Return any borrowed items to staff

Genesis Valor is not responsible for personal belongings left behind after move-out. Items left behind may be disposed of after a reasonable holding period as outlined in your residency agreement.

Step 4 — Room Cleaning

Before your final walkthrough, your room must be cleaned to the standard it was in when you moved in. Cleaning responsibilities include:

  • Sweep and mop all hard floors
  • Vacuum carpeted areas
  • Wipe down all surfaces — desk, dresser, windowsills, baseboards
  • Clean inside and outside of any furniture provided
  • Wipe down walls and remove any tape, tacks, or adhesive residue
  • Clean windows and window tracks
  • Empty and wipe out all drawers and closet shelves
  • Remove all trash and dispose of it properly

Rooms that are not cleaned to standard may result in a cleaning fee charged to the resident. If you need cleaning supplies, ask staff in advance of your move-out date.

Step 5 — Final Walkthrough & Room Inspection

On your move-out day, a staff member will conduct a final walkthrough of your room with you present. The room will be compared against the Room Condition Report completed at move-in.

During the walkthrough, staff will assess:

  • Cleanliness of the room and all surfaces
  • Condition of walls, floors, windows, and fixtures
  • Condition of any furniture or equipment provided
  • Presence of all items that were present at move-in
  • Any damage beyond normal wear and tear

Normal wear and tear — minor scuffs, small nail holes, light carpet wear — is expected and will not be charged. Damage beyond normal wear and tear may result in charges as outlined in your residency agreement.

Step 6 — Return Keys & Access Credentials

All keys, key fobs, access cards, and any other access credentials must be returned to staff at the time of your final walkthrough. Do not leave keys in the room or pass them to another resident.

Failure to return keys may result in a lock replacement fee charged to the resident.

Step 7 — Move-Out Documentation

After the final walkthrough, staff will complete the move-out section of the Room Condition Report and note any charges or deductions. You will receive a copy of the completed report.

If you disagree with any findings, you have the right to submit a written grievance within the timeframe outlined in your residency agreement. All grievances will be reviewed fairly.

Move-Out Checklist

  • Written notice of departure submitted
  • Discharge plan completed with case manager
  • All personal belongings removed from room and shared spaces
  • Room cleaned to move-in standard
  • All trash removed and disposed of properly
  • Final walkthrough completed with staff
  • Room Condition Report reviewed and signed
  • Keys and all access credentials returned
  • Copy of move-out documentation received
  • Forwarding address provided to staff (if applicable)

Important Notes

Damage Charges: Residents are financially responsible for intentional or negligent damage beyond normal wear and tear. The Room Condition Report signed at move-in is the reference document for all damage assessments at move-out. Protect yourself — document everything at move-in.
Abandoned Property: Personal belongings left behind after move-out will be held for a reasonable period as outlined in your residency agreement. Items not claimed within that period may be donated or disposed of. Genesis Valor is not responsible for abandoned property.
Forwarding Address: Please provide a forwarding address to staff at move-out so that any mail, documentation, or correspondence can be forwarded to you. This is especially important for tax documents, benefit correspondence, and legal mail.
References & Housing History: Residents who leave in good standing — following procedures, completing discharge planning, and returning the room in good condition — may request a housing reference from Genesis Valor staff. A positive housing history is a valuable asset for securing future housing.
